About the role

As a CBRE Events Sr. Coordinator, you will assist with planning, coordination, and day-of execution of medium to large meetings, conferences, and events and will ensure the setup details are perfect before the client arrives. From meeting set up to room flips, to materials gathering, and supporting last-minute requests such as additional materials, and ground transportation requests, you will work with agility, solving challenges as they arise.

What you'll do

  • Be the primary point of contact, and provide support for smaller meetings and events as needed. Create a hospitable environment for attendees, event owners, and vendors on the day of the event.
  • Work with clients, vendors, and team members to coordinate guest services. This includes arrival experience, transportation, signage, displays, special needs requirements, printing, and event security.
  • Perform conference room turnover and midday room refresh. Reconfigure rooms for evening indoor and outdoor spaces.
  • Conduct room set up, refresh, and removal of food, beverage, and service items. Maintain outlines of large space configurations, decor possibilities, and event-related event items.
  • Complete room checks and ensure technical and visual spaces are functional. Troubleshoot audio and technical issues.
  • Review post-event storage and inventory. This includes tables, chairs, and AV equipment.
  • Respond to event activities such as gathering event supplies, equipment needs, food & beverage services, facility security, etc.
  • Led a large inventory of event supplies.
  • Generate post-event reporting and reconciliation reports.
  • Organize vendors and support speaker requests. Ensure vendor safety and insurance requirements per compliance.
  • Coordinate meeting and events calendar for medium to large-sized event spaces. Communicate events schedule with team and service providers.
  • Recognize and solve typical and atypical problems that can occur in your work area with minimum supervision.
  • Impact the team through the quality of the services or information provided.
  • Follow standardized procedures and practices and receive regular but moderate supervision and guidance.
    What you'll need

    • High School Diploma or GED with 2-3 years of job-related experience.
    • 2+ years in a hospitality industry position
    • Fulfill the physical requirements associated with this role. This includes stooping, standing, walking, and climbing stairs. Be able to lift/carry heavy loads of 50 lbs. or more.
    • An established understanding of work routines and standards and applying skills and knowledge in a range of processes, procedures, and systems are required.
    • Requires intermediate problem-solving skills with the capacity to review and select solutions from available options without supervisory approval.
    • Ability to explain detailed and complicated information within the team clearly and concisely.
    • Knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
    • Ability to manage multiple priorities and be adaptable. Calm under pressure and work well in a collaborative environment
    • Strong organizational skills with a robust inquisitive mindset.
    • A willingness to train and become certified in specific areas, potentially including CAD certification, forklift, scissor lift and motorized carts
