--What you'll do in the role:As the Front Desk Assistant for
Reynolds Defense Firm, your role is an integral part of making sure
that our clients' experience is consistently high quality. You are
the first point of contact and set the stage for all interactions
clients will have at Reynolds Defense Firm. You confidently answer
client questions, gather information, and assure them they are in
good hands with Reynolds Defense Firm. You won't just be answering
phone calls, you'll be establishing a true human connection with
each person you talk to!

Responsibilities:
The Front Desk Assistant serves as the first point of contact for
clients, communicating company messaging and conveying confidence
in our ability to assist them. This position has pride of
'ownership' in being part of the client intake and marketing
process and setting the standard for all other interactions the
clients will have. The Front Desk Assistant is responsible for
greeting, assisting, and providing information to clients over the
phone and in person, and performs a variety of clerical and client
care tasks.
Essential Duties & Responsibilities
--- Answer main phone line, triage, and transfer calls
--- Greet and assist visitors while creating and maintaining a
friendly and welcoming environment
--- Use company guidelines to screen prospective new clients
(PNCs), gather information about their cases, and schedule S1 phone
calls
--- Enter PNC contact and information data into the database
--- Prepare and send daily marketing letters
--- Prepare and mail new hire folders to new clients
--- Maintain tidy breakrooms, copy rooms, and conference rooms
including daily emptying of the dishwasher, restocking paper
products, snacks, soap, etc.
--- Manage office supply inventory and order office supplies,
breakroom snacks, paper products, etc.
--- Take in-person and over-the-phone payments as needed
--- Serve as backup for running payments for the finance
department
--- Receives mail, documents, packages, and courier deliveries and
distributes items to staff
--- Maintain conference room schedule, set-up, and clean up after
conference room meetings
--- Provide phone and front desk training for other RDF staff as
needed
--- Performs other related duties as required and assigned
Qualifications:
Required Education and Experience
--- High school diploma or equivalent required
--- Minimum 3-5 years of general work experience
--- Minimum 1 year of clerical or customer service experience
required
Required Skills and Abilities
--- Intermediate proficiency in customer service with the ability
to manage interactions in line with company messaging and
vision
--- Excellent communication skills
--- Excellent attention to detail
--- Ability to work independently to identify and solve
problems
--- Ability to organize and prioritize work
--- Ability to respond to common inquiries and questions from
internal and external customers
--- Ability to operate office machines including copiers, scanners,
phone and voicemail systems, and personal computer
--- Intermediate proficiency with Microsoft Office Suite and
comfortable learning and using new software programs
