Job Description:

Remote Admin This role has two main functions but is ever evolving with new duties. The two main functions now are

  • Overseeing the process with vendors contracts with making sure that legal is reviewing them in a timely manner and making sure vendors are getting the required forms over to them. Vendor interaction works as a liaison with the legal team coordinates signatures for NDAs, MSAs, and SOWs. Then work with internal stakeholders to Coordinate the issuing of POs and coordinates with Finance for final signature.
  • Managing the calendarDescription:Administrative coordinationoRoutine PO and invoice processing.oTracking spending against current and future budgets.oTracking contracts and monitoring due dates.oAssisting with maintaining physical inventory, both field work and tracking.Maintaining and reporting on key metrics for IT department, including.Department communication and project tracking.oUpdating data in the project management portfolio.oAssisting the CIO in preparing Quarterly Business Report (QBR).Providing administrative support to maintain IT policies and ensure training for compliance purposes.oWorking closely with IT leadership to routinely update and publish policies.oMonitoring and making updates to Business Continuity Plan (BCP).Providing support to IT functional teams around process and system audits.oReviewing and tracking the execution of critical process (payments, funding).oPre-audit internal processes.oHelp support during external audit.Additional Skills & Qualifications:A Bachelors degree in a related field, or Three (3) years of relevant experience required.Amazing attention to detail required.Strong Microsoft Office skills with Excel, Word and PowerPoint (ANY PROJECT MANAGEMENT SOFTWARE) are required.Excellent written and verbal communication are required.Ability to prioritize work tasks and meet deadlines is required.The ability to work independently as well as part of a team is required.Positive attitude while working with peers on tracking down details required.Strong follow up and commitment to driving tasks to conclusion required.The ability and willingness to work on developing Project Management skills is required.Familiarity with purchase orders and invoices is preferred.Familiarity with basic project management is preferred.Experience Level:Intermediate LevelAbout Aston Carter: At Aston Carter, were dedicated to expanding career opportunities for the skilled professionals who power our business.
